Quarryman's Rest, LLC

LAST UPDATED: 1 September 2026

I. Scope & Purpose

Quarryman’s Rest, LLC (“Quarryman’s Rest,” “we,” “us,” or “our”) operates Quarryman’s Rest, a historic lodging and immersive guest experience in Harpers Ferry, West Virginia, and the website located at quarrymansrest.com (the “Site”).

This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when you visit our Site; join our waitlist or mailing list; communicate with us; submit historical photographs, documents, stories, or other materials; participate in promotions or interactive features; inquire about or make a reservation; stay at Quarryman’s Rest; attend an event; or otherwise interact with us.

You are not required to provide personal information simply to browse our Site. Certain information may, however, be necessary when you choose to use particular features or services.

For purposes of applicable privacy laws, Quarryman’s Rest, LLC is the entity responsible for the personal information described in this Privacy Policy.

II. Our General Approach to Privacy

We collect information because there is a reason for it, not simply because technology makes it possible.

We use personal information to operate our website and business, communicate with visitors and guests, administer reservations and promotions, improve the guest experience, protect the property and our systems, understand how people use our services, and preserve historical materials entrusted to us.

We do not sell personal information for money. We do not rent our mailing lists or guest lists, and we do not provide your contact information to unrelated businesses for their own direct marketing.

Certain analytics and advertising technologies may transmit identifiers or information about website activity to service providers such as Google, Meta, or Microsoft. Depending upon applicable law, some of these activities may be legally characterized as “sharing,” “targeted advertising,” or similar activity even though we do not sell lists or individual customer records. Those practices are addressed below.

INFORMATION WE COLLECT

III. Information You Provide Directly to Us

Depending upon how you interact with Quarryman’s Rest, we may collect information including:

  • Name;
  • Email address;
  • Telephone number;
  • ZIP or postal code;
  • Mailing or billing address;
  • Company or organization;
  • Reservation dates;
  • Number of guests;
  • Names of guests;
  • Ages or age ranges of guests;
  • Number of children traveling;
  • Information about pets accompanying a reservation;
  • Questions, correspondence, feedback, reviews, or other communications;
  • Preferences or responses submitted through quizzes, surveys, or interactive features;
  • Historical photographs, documents, recordings, stories, genealogical information, or other contributed materials;
  • Files uploaded through our forms;
  • Press or media information;
  • Promotion or giveaway entries;
  • Information reasonably necessary to administer a reservation, event, purchase, or other transaction; and
  • Other information you voluntarily choose to provide.

Please do not provide Social Security numbers, financial account passwords, complete payment-card information, government identification numbers, medical records, or other highly sensitive information unless we specifically request information for a legitimate and necessary purpose.

IV. Information About Other People

A person making a reservation may provide limited information about other members of their party, such as names, ages or age ranges, number of children, or other information reasonably necessary to administer the stay.

If you provide us with personal information about another person, you represent that you are authorized to provide that information and, where appropriate, have informed that person about the disclosure.

Information concerning minor guests should be supplied by the responsible adult making or managing the reservation. We do not use information about children traveling with a guest for advertising or marketing to those children.

V. Sensitive or Special Information

We generally do not request sensitive personal information.

There may be circumstances in which a guest voluntarily provides information concerning accessibility, disability, allergies, health, service animals, safety, or another sensitive matter because it is reasonably necessary to request an accommodation or allow us to provide appropriate guest services.

When such information is provided, we use it only as reasonably necessary to respond to the request, provide the relevant service, protect health or safety, comply with law, or establish or defend legal rights.

Please provide only the information reasonably necessary for us to assist you.

WAITLIST, EMAIL & COMMUNICATIONS

VI. Quarryman’s Rest Waitlist

Visitors age 18 or older may voluntarily join the Quarryman’s Rest waitlist.

Our waitlist currently collects:

  • Name;
  • Email address; and
  • ZIP or postal code.

We use this information to communicate about:

  • Restoration and development progress;
  • Opening announcements;
  • Booking availability;
  • Priority-booking opportunities;
  • Events;
  • News and behind-the-scenes information;
  • Promotions and special offers; and
  • Other Quarryman’s Rest updates.

Joining the waitlist is free and does not obligate you to make a reservation or purchase anything.

Our waitlist will eventually transition into our regular Quarryman’s Rest mailing list. We will continue to honor unsubscribe requests after that transition.

VII. Email Analytics

We use an email-service provider to deliver our mailing-list communications.

Our email provider may collect information concerning interactions with emails, such as:

  • Whether an email was delivered;
  • Whether an email was opened;
  • Links clicked;
  • Date or time of interaction;
  • Approximate location;
  • Device or browser information; and
  • Similar email-engagement information.

We use this information to understand whether our communications are useful, improve what we send, troubleshoot delivery problems, and understand subscriber interest.

You may unsubscribe from optional marketing communications at any time by using the unsubscribe link included in our emails.

We may retain limited suppression information after an unsubscribe request so that we can honor your preference and avoid accidentally adding you back to a marketing list.

VIII. Service, Transactional & SMS Communications

Marketing communications are different from messages necessary to fulfill a request or provide a service.

We may contact you by email, telephone, text message, booking-platform messaging, or another method reasonably necessary to:

  • Respond to an inquiry;
  • Manage a reservation;
  • Send check-in or check-out information;
  • Address a guest-service or safety matter;
  • Communicate about a purchase, event, or transaction;
  • Provide information you specifically requested; or
  • Fulfill another service-related purpose.

We do not intend to send promotional text messages unless you have separately agreed to receive them where consent is required.

Unsubscribing from marketing email does not prevent us from sending necessary transactional communications concerning an active reservation, purchase, or other requested service.

PROMOTIONS

IX. Giveaways, Contests & Sweepstakes

Quarryman’s Rest may conduct giveaways, contests, sweepstakes, or other promotions.

Joining the Quarryman’s Rest waitlist currently includes automatic entry into our advertised free-night drawing, subject to the applicable Official Rules, eligibility requirements, promotion period, and other terms.

Information collected for a promotion may be used to:

  • Record entries;
  • Determine eligibility;
  • Select or contact potential winners;
  • Verify compliance with official rules;
  • Administer or deliver a prize;
  • Maintain records relating to the promotion; and
  • Satisfy applicable legal or tax requirements.

Promotions may have separate Official Rules. Those rules supplement this Privacy Policy and control matters specifically relating to the promotion.

Where required by law, additional disclosures concerning promotions or financial incentives will be provided at the time of participation.

HISTORICAL CONTRIBUTIONS

X. Historical Photographs, Stories & Other Contributions

One of the purposes of Quarryman’s Rest is to preserve and interpret the history of Bakerton and the people who lived and worked there.

Visitors may voluntarily contribute materials such as:

  • Historical photographs;
  • Letters and correspondence;
  • Documents;
  • Family histories;
  • Genealogical information;
  • Oral histories;
  • Audio or video recordings;
  • Newspaper or archival material;
  • Personal memories;
  • Corrections or identifications;
  • Research; and
  • Other historically relevant material.

Files may include photographs, PDFs, word-processing documents, links to online documents, audio, video, or other supported formats.

We may retain historical contributions indefinitely as part of the Quarryman’s Rest historical research and archival collection, subject to applicable law and the permissions granted by the contributor.

XI. Living Persons in Historical Contributions

Historical submissions should not include private or personal information concerning a living individual unless:

  1. the living individual is the person making the submission; or
  2. Quarryman’s Rest has specifically approved the submission and the contributor has appropriate permission to provide the information.

Photographs or recordings containing living individuals may be accepted in limited circumstances, such as when the individual depicted is the contributor or has authorized the submission.

We do not intend to publish genealogical information identifying living descendants merely because they are related to a historical person.

If we discover that a contribution improperly contains private information about a living person, we may restrict, edit, anonymize, or remove that information as appropriate.

XII. How Historical Contributions May Be Used

Subject to the permissions granted through our separate Historical Contribution Agreement, contributed material may potentially be used:

  • Inside Quarryman’s Rest;
  • In interactive or immersive experiences;
  • On the Quarryman’s Rest website;
  • In social media;
  • In educational or interpretive materials;
  • In printed materials;
  • In advertising or promotional materials;
  • In presentations;
  • At events;
  • In future exhibits or displays;
  • In publications; or
  • In other historical or interpretive projects relating to Quarryman’s Rest and Bakerton.

Contributors may be offered the opportunity to receive attribution or request anonymity.

A contribution may be reviewed, edited, excerpted, contextualized, declined, or not used at all.

Because historical contributions may become incorporated into research, interpretation, exhibits, publications, or archival collections, Quarryman’s Rest does not generally promise to remove contributed historical materials at a later date. We will, however, review legitimate privacy, copyright, legal, safety, or living-person concerns.

Privacy practices relating to personal information are governed by this Privacy Policy. Copyright, licensing, attribution, reproduction, and permission to use contributed materials are governed separately by the Historical Contribution Agreement accepted when materials are submitted.

WEBSITE & TECHNOLOGY

XIII. Information Collected Automatically

When you access our Site, certain technical information may be collected automatically by Quarryman’s Rest or by service providers supporting the Site.

This may include:

  • IP address;
  • Browser type;
  • Device type;
  • Operating system;
  • Approximate geographic location derived from an IP address;
  • Date and time of access;
  • Referring website or source;
  • Pages viewed;
  • Time spent on pages;
  • Links clicked;
  • Scrolling or interaction information;
  • Device or browser identifiers;
  • Cookie identifiers;
  • Error or performance information;
  • Security-related information; and
  • Other similar technical data.

We use this information to operate, secure, troubleshoot, measure, understand, and improve our Site and services.

XIV. Analytics & User-Experience Tools

We currently use or may use services including:

  • Google Analytics;
  • Google Search Console;
  • Microsoft Clarity; and
  • Other performance or analytics tools that may be introduced in the future.

These technologies may help us understand matters such as:

  • How visitors find the Site;
  • Which pages they visit;
  • How long they remain;
  • How pages are navigated;
  • Scrolling, clicking, or other interactions;
  • Device and browser characteristics;
  • Site errors; and
  • General traffic patterns.

Microsoft Clarity and similar tools may create session-replay or interaction information that allows us to understand how users navigate pages. We use these tools to improve usability and do not intentionally use them to identify visitors by name.

XV. Advertising, Measurement & Remarketing

We use or expect to use technologies including:

  • Meta Pixel;
  • Google Ads measurement and advertising technologies; and
  • Similar advertising tools.

These technologies may use cookies, pixels, identifiers, or other information to:

  • Measure advertising performance;
  • Understand whether a visitor arrived through an advertisement;
  • Build advertising audiences;
  • Limit or improve advertising;
  • Show advertising to people who previously visited our Site; and
  • Measure conversions or interactions.

We do not sell our customer list or mailing list to advertisers.

However, disclosure of identifiers or Internet activity to advertising companies for cross-context behavioral advertising or targeted advertising may be considered a “sale,” “sharing,” or similar activity under the privacy law of some jurisdictions even when no money changes hands.

Where applicable, visitors may exercise legally available opt-out rights through our privacy or cookie controls, recognized browser preference signals, or by contacting us.

California, for example, treats certain disclosures for cross-context behavioral advertising as “sharing” and provides covered consumers with an opt-out right

XVI. Cookies & Similar Technologies

Quarryman’s Rest and our service providers may use:

  • Cookies;
  • Pixels;
  • Tags;
  • Local storage;
  • Scripts;
  • Device identifiers; and
  • Similar technologies.

These technologies may support:

Strictly Necessary Functions
Security, forms, fraud prevention, website operation, network management, and other essential functionality.

Preferences & Functionality
Remembering preferences or enabling website features.

Analytics
Understanding traffic, performance, and interaction with the Site.

Advertising
Measuring campaigns, creating audiences, and delivering or evaluating relevant advertising.

We intend to provide appropriate privacy and cookie controls that allow visitors to manage nonessential technologies where required or appropriate.

Blocking certain technologies may affect the availability or functionality of parts of the Site.

XVII. Global Privacy Control & Browser Signals

Some browsers or browser extensions transmit privacy preference signals, including the Global Privacy Control (“GPC”).

Where applicable law requires recognition of such a signal, we will honor it as required. Where technically supported, we may also use recognized privacy signals to apply broader advertising or tracking preferences.

Because different browser privacy technologies operate differently, not every “Do Not Track” signal is necessarily capable of producing the same result.

California recognizes GPC as a method by which consumers of covered businesses can exercise certain opt-out rights.

THIRD-PARTY TECHNOLOGY

XVIII. Website Infrastructure & Service Providers

We rely upon service providers to operate and secure the Site.

Depending upon the service and configuration in use, providers may include services supporting:

  • Web hosting;
  • Content delivery networks;
  • Website caching and optimization;
  • Image optimization;
  • Website security and firewall services;
  • Spam protection;
  • Form processing;
  • Email communications;
  • File and media hosting;
  • Analytics;
  • Advertising;
  • Payment processing;
  • Booking systems;
  • Cloud storage; and
  • Website maintenance.

Current technologies may include services provided by companies such as ChemiCloud, Cloudflare, Wordfence, LiteSpeed, Optimole, Forminator, Akismet, Tarvent, Publit.io, Google, Microsoft, Meta, and others.

We may change vendors or technologies as our Site evolves. We select providers for legitimate operational purposes and expect them to handle information in accordance with applicable contractual and legal obligations.

XIX. Spam & Abuse Prevention

Our forms may use honeypot technology, reCAPTCHA, Akismet, security systems, or similar tools to prevent spam, automated submissions, fraud, or abuse.

These services may process information such as:

  • IP address;
  • Browser or device information;
  • Form interaction data; and
  • Other technical signals useful for distinguishing legitimate visitors from automated or abusive activity.

XX. Embedded Content & Third-Party Features

The Site may incorporate third-party content or functionality, including:

  • Google Maps;
  • Google Fonts;
  • Videos delivered through Publit.io;
  • Facebook or Instagram content;
  • Airbnb or VRBO widgets;
  • Tripadvisor features;
  • Weather information;
  • Social-media tools;
  • Booking tools; and
  • Other embedded content.

Embedded third-party features may collect information about your device or activity as though you had interacted directly with that provider.

Those providers operate under their own privacy policies and terms. Quarryman’s Rest does not control the independent privacy practices of third-party websites and services.

RESERVATIONS & TRANSACTIONS

XXI. Booking & Guest Information

Quarryman’s Rest expects to accept reservations directly and through independent booking platforms.

When you make or inquire about a reservation, we may collect:

  • Name;
  • Address;
  • Email address;
  • Telephone number;
  • Reservation dates;
  • Number of guests;
  • Names of guests;
  • Ages or age ranges;
  • Number of children;
  • Pet information;
  • Communications relating to the stay;
  • Rental-agreement information;
  • Transaction records; and
  • Other information reasonably necessary to administer the reservation.

A responsible adult booking the property may provide limited information concerning other members of the party.

Reservation information may also be received from third-party booking platforms such as Airbnb, VRBO, or other services you choose to use.

XXII. Payment Processing

Payments made directly through Quarryman’s Rest are processed through third-party payment processors such as Stripe or PayPal.

Payment processors may collect payment-card or financial information directly from you.

Quarryman’s Rest does not store complete payment-card numbers or card security codes on our own systems.

Payment providers independently process information under their own privacy policies, security standards, and legal obligations.

We may retain transaction records showing information such as the amount paid, date, transaction identifier, payment status, refund information, or similar records necessary for accounting and business purposes.

XXIII. Online Purchases & Other Services

As Quarryman’s Rest develops, we may offer merchandise, gift cards, digital products, memberships, tours, events, tickets, or other goods and services.

When such services are offered, we may collect information reasonably necessary to:

  • Process an order;
  • Provide the service;
  • Deliver goods;
  • Issue tickets or reservations;
  • Maintain transaction records;
  • Prevent fraud;
  • Communicate about the purchase; and
  • Comply with applicable business, accounting, and tax obligations.

If a future feature materially changes our privacy practices, this Privacy Policy will be updated accordingly.

THE PHYSICAL PROPERTY

XXIV. Exterior Security Cameras

Quarryman’s Rest uses and expects to use exterior security cameras and a video doorbell around the exterior of the property for security, safety, property protection, and incident investigation.

Cameras may capture individuals approaching, entering, leaving, or otherwise occupying exterior areas of the property.

There are no surveillance cameras inside Quarryman’s Rest.

Exterior cameras will be disclosed to guests through appropriate booking information and guest materials.

We intend to configure exterior security cameras without routine audio recording.

Ordinary camera recordings are generally expected to be retained for no longer than approximately 90 days, unless footage is reasonably necessary for a safety or security investigation, insurance matter, dispute, suspected violation, legal claim, law-enforcement request, or other legitimate reason requiring longer retention.

Camera footage is ordinarily accessible only to the property owners and may be provided to law enforcement, insurers, legal professionals, or others where reasonably necessary or required by law.

XXV. Smart-Home & Property Technology

The property may use smart or connected technology including:

  • Smart locks;
  • Exterior cameras;
  • Video doorbell;
  • Smart thermostats;
  • Occupancy or property sensors;
  • Network equipment;
  • Interactive controllers; and
  • Other property-management technology.

These systems may generate limited technical information such as access events, device status, temperature information, occupancy signals, security alerts, or diagnostic information.

If we use a noise-monitoring device, it will be intended to measure sound levels or decibel thresholds—not record conversations.

We do not use facial recognition or biometric identification to monitor guests.

IMMERSIVE EXPERIENCE

XXVI. Interactive & Immersive Technology

Quarryman’s Rest contains or will contain interactive systems designed to make the house respond to guest curiosity and participation.

These may include physical controls, telephones, sensors, switches, connected devices, locally controlled effects, and voice-responsive features.

The house is designed to react to you—not surveil you.

Interactive systems may detect an action, physical input, activation phrase, or limited voice command in order to trigger a locally stored effect.

Where voice-responsive technology is used, a microphone or sensor may process sound for the limited purpose of recognizing an activation or command. We do not use these systems to make continuous recordings of guest conversations or to store ordinary conversations.

Interactive effects are designed primarily to operate using locally stored content and local control systems.

We may collect limited operational or aggregate information concerning the interactive experience, such as:

  • Whether a feature was activated;
  • Number or frequency of activations;
  • Errors;
  • Device status; or
  • Similar technical information.

Such information may be used to maintain, troubleshoot, improve, or better understand the guest experience.

If we later introduce a system that materially changes these practices—for example, cloud-based processing of guest audio—we will update this Privacy Policy and provide additional notice where appropriate.

GUEST INTERNET

XXVII. Guest Wi-Fi

Quarryman’s Rest intends to provide guest Wi-Fi.

Network equipment and Internet-service providers may automatically process technical information such as:

  • IP addresses;
  • Device or network identifiers;
  • MAC addresses;
  • Connection dates or times;
  • Network status; or
  • Similar connection information.

We do not intend to inspect or monitor the content of guests’ Internet browsing merely because they use our Wi-Fi.

Guest Wi-Fi will be separated, where reasonably practicable, from networks used to operate Quarryman’s Rest systems and interactive technology.

Internet service providers and network-equipment providers may independently process information according to their own policies.

SOCIAL MEDIA, REVIEWS & MEDIA

XXVIII. Social Media

Quarryman’s Rest operates social-media accounts, including Facebook and Instagram.

If you communicate with us through social media, tag Quarryman’s Rest, comment, share material, or otherwise interact with us through a social platform, the platform may provide us with information associated with your interaction.

We may use platform-native functions such as sharing or reposting publicly available content where permitted by the platform.

Use of a guest's photograph, video, or other content outside ordinary platform sharing—particularly in advertising, our website, or other promotional material—may be subject to separate permission, licensing, platform terms, or other applicable rights.

Your relationship with a social-media platform is also governed by that platform's own privacy policy and terms.

XXIX. Reviews & Testimonials

We may display reviews, testimonials, feedback, or excerpts from communications that have been:

  • Submitted directly to us for that purpose;
  • Posted publicly about Quarryman’s Rest; or
  • Otherwise made available for appropriate reuse.

Such use will be consistent with applicable law, relevant platform terms, and any permissions reasonably required.

If you believe we have used personal material inappropriately, please contact us.

XXX. Photography & Recording at Events

Quarryman’s Rest may occasionally host events, tours, previews, press visits, or other activities during which photographs or video may be taken.

Where appropriate, we may provide additional notice or obtain a separate photography, media, or publicity release.

We will take reasonable steps to respect situations in which an individual has been told that photography is optional or has requested not to participate.

XXXI. Press, Media & Content Creators

Press and media inquiry forms may collect information including:

  • Name;
  • Company, publication, channel, or organization; and
  • Email address.

Contacting Quarryman’s Rest as a journalist, writer, photographer, filmmaker, podcaster, content creator, or other media professional does not automatically subscribe you to our marketing list.

We may retain press correspondence and may, with appropriate permission or another lawful basis, maintain contact information for future media communications.

Press or creator arrangements, complimentary stays, collaborations, or other partnerships may be governed by separate agreements.
